Playbook Builder Permissions

Learn how playbook permissions work.

We’ve made the following updates to playbooks to offer more flexibility with creation and access management:

  • Ability to give specific users the permissions to create playbooks
  • Added new metadata on playbooks for insights on usage in admin panel
  • Ability for playbook managers to:
    • Publish a playbook into their workspace, distinguishing it as an official playbook
    • View and manage all published playbooks

Managing Playbook Permissions Levels

The ability to create playbooks in your workspace can be designated beyond admins. Users can be given one of the following permission levels:

  • Playbook user: Can run playbooks, or edit playbooks they’ve been given specific access to
  • Playbook creator: User access, and can create playbooks
    • Creators can share playbooks — but they do not have the option to publish unless they are also managers.
  • Playbook manager: Creator access, and can publish playbooks as an official resource within the workspace.

Admins can assign these roles directly in settings, or they can be granted by Harvey through submitting a Feature Access request.

Managing Access Levels Per Playbook

You can set access levels on an individual playbook by following the steps below.

  1. Navigate to Settings, then Playbooks.
  2. Locate the playbook you’d like to update, then click the Review button to open up playbook editing.
  3. Click the Share button in the top right to modify access.
  4. Choose an option for General access, either:
    1. Restricted: Restrict access to specific users and invite individuals by email. For each user, you can set the following access levels:
      1. Can view: view and run the playbook
      2. Can edit: modify playbook rules
      3. Can manage: edit, share, or delete playbook
    2. Anyone in your workspace with the link: allow all users in the Workspace to get view, edit, or manage access. You can still add individual users to give them custom access.

Enhanced Playbook Insights

You can now view additional data on how playbooks are used across your workspace by following the steps below.

  1. Go to Settings, then Playbooks.
  2. You’ll now be able to review more data, such as:
    1. Created by: the user who create the playbook
    2. Run count: the number of times the playbook has been used
    3. Shared with: high level understanding of access levels granted
