Embed Vaults and Knowledge Sources in Workflow Builder

Overview
Embed regional knowledge sources, Vault files, or knowledge bases directly into custom workflows. Attach any sources available to you in Assistant, including:
- Vault files
- Vault folders, entire vaults, and knowledge bases
- Web Search
- File Uploads
- Private or Public Legal Databases
Note: Premium or partnership-based databases (e.g., LexisNexis®, Lefebvre) and Tax AI sources are not yet supported in Workflow Builder.
Why Embed Files and Knowledge Sources?
When sources are embedded into workflows, they help teams produce more accurate and context-aware results by grounding each workflow step in relevant internal and external knowledge. Instead of manually uploading files or selecting sources on every workflow run, embedded sources pre-applies relevant knowledge and standardizes team inputs more efficiently.

How to Add Knowledge Sources to Workflows
Important: The list of available knowledge sources depends on your workspace permissions. Workflow Builder uses the same access framework as Assistant, with the same available knowledge sources per user.
Embed Regional Knowledge Sources
Regional knowledge sources can be added to individual prompt blocks within Workflow Builder.
- Open Workflow Builder and select an existing workflow or create a new one.
- Click on a prompt block.
- In the editing panel, under knowledge sources, click Add knowledge source.
- Select the desired sources. You can attach up to two knowledge sources per prompt block, this includes web search.
- Repeat for additional blocks that require specific references.
Tip: If your workflow includes multiple prompt blocks, attach the desired knowledge sources to each block that should reference or search against those regional materials.

Embed Vault Files or Vaults
Important: To run a workflow with an embedded Vault files, you must have permission to access the vault it resides in. If not, Harvey displays an access warning for that file or vault.
You can embed individual Vault files or entire vaults in any custom workflow.
When you embed a vault, the workflow automatically stays up to date — any file added, removed, or updated in that vault is reflected each time the workflow runs.
You can add Vault files in three ways: by managing a workflow’s files, by adding them from a prompt block, or by attaching them during workflow creation.
Manage a workflow’s files:
- In Workflow Builder, open a workflow.
- Click the three-dot menu in the top-right corner.

- Select Manage files > Choose file > Vault.
- To embed individual files:
- Select the vault
- Select the files you want
- Click Choose to save updates

- To embed an entire vault:
- Select the vault
- Click Add vault

Edit a prompt block:
In the prompt block, under embedded files, click Add files > Add new file > vault.

Tips for Success
- Attach the appropriate knowledge source to every prompt block that requires context.
- Use Vault embedding to standardize workflow inputs across teams.
- Combine regional knowledge sources with internal references to generate locally accurate outputs.
- Verify that all collaborators have the required permissions for embedded Vault content.
