Updated Workflow Builder Permissions
Builders can now create workflows and request publication approval, while admins get centralized oversight and control in a new dashboard.
What's New:
We’ve introduced a new admin permission bundle to strengthen governance and visibility. Builders can create workflows and request publication approval, while admins can approve, manage, and oversee all workflow activity from a centralized dashboard. Here's a brief snapshot of the differences:
Builders
- Create workflows and submit them for admin approval before publishing
- Share approved workflows with individuals (not workspace-wide)
Admins
- Approve, reject, or manage any workflow across the workspace
- Access a new Workspace Workflows tab under Settings for a comprehensive view of all workflows (published + unpublished, internal + external)
- Grant access and enforce governance policies
- Reassign workflows tied to inactive or deleted users
Why it Matters:
This update improves governance and ensures continuity. Admins now have more visibility and control and can confidently expand access to Workflow Builder without compromising compliance or quality.
How to Use it:
Builders: Use Submit for approval (replaces Publish button) when creating workflows.
Admins: Use Workflow Builder to review workflows pending approval, and manage all workflows from the new Workspace Workflows tab in Settings.
Notes/Limitations:
- Workspace admins will automatically be granted this new permission bundle, and can grant it to other users as needed
- Only admins can approve or reject workflows and share workspace-wide
- Non-admins will not see the Workspace Workflows tab
