What's New

The redesigned Workflow Builder table gives builders and admins a clearer view of each Workflow’s purpose, activity, and required actions.

  • Key details like last updated date, run history, access levels, and approval status, now surface directly in the table.
  • A new Pending approval section highlights Workflows awaiting admin review.

Why It Matters

The refreshed view helps you quickly understand and take action on workflows shared with you.

How to Use

Review Pending Workflows

  1. Open Workflow Builder. The updated table appears on the landing page.
  2. Check Workflows pending approval at the top.
    1. Admins: Approve or deny workflows, or open them for additional context.
    2. Builders: Track workflows you’ve submitted for approval.
  3. After approving a pending workflow, manage run and build access for that workflow under Settings > Workspace workflows.

Explore the Updated Workflow Table

  • Each Workflow now displays:
    • Name (with description on hover)
    • Last updated date
    • Number of users with build access
    • Number of users with run access
    • Run count
    • Status (draft, published, or awaiting approval)
  • Use filters to narrow results. Filter by published/unpublished, creator, or practice area—the same options available before the redesign.
  • Access quick actions. Hover over a workflow to edit, run, delete, duplicate, or manage build/run access.
  • Open any Workflow for full details.
  • Admins: Monitor workflow activity at a glance. The updated table and approval queue make it easier to identify which Workflows require attention.

FAQs

Q: Who can see the redesigned table?

  • Workflow Builders and Admins see workflows shared directly with them, including those published to the workspace.
  • Workflow Admins also see workflows pending approval.

Note: Workspace Admins can still see all workflows, even if not explicitly shared with them, in Settings > Workspace Workflows. What you see depends on your permissions:

Q: Does the redesign change how Workflows are created or edited?

No. All creation, editing, and configuration functionality remains the same. The redesign improves visibility and navigation only.

Q: Why do some Workflows show “0” users with run access after publishing?

Run access hasn’t been assigned yet. After approving publication, admins must grant run access before others can run it.

Q: How do I know whether a Workflow is active or stale?

Use the Last updated and Run count columns. Pairing these signals helps you understand recency and usage trends at a glance.
