Advanced Vault Controls
Vault, Knowledge Base, and Review Table owners can now restrict what view-only users can do, blocking file downloads, duplication, and visibility into review table prompts.
What’s New
We’ve introduced more granular vault controls that let owners restrict shared users with view-only permissions from downloading files, duplicating files, or seeing review table prompts.
If you’re the owner of a Vault, Knowledge Base, or independent Review Table, you can now turn off specific actions for anyone with View access:
- Allow downloads: prevent viewers from downloading files
- Allow duplication: prevent viewers from duplicating files
- Show review prompts: prevent viewers from seeing the prompts that generate review table columns
These restrictions apply only to users with View access. Users with Edit or Full Access are never restricted by these toggles.
Why It Matters
Sharing a Vault or Review Table with external parties or internal viewers often means choosing between full collaboration and no access at all. With content protection controls, you can share content broadly while keeping sensitive material, such as source documents or prompts, from leaving the platform or being copied. This gives you more control over confidential work product without having to downgrade or remove access.
How to Use
- Go to a Vault, Knowledge Base, or independent Review Table that you own.
- Select Share.
- Select Content controls at the top-right of the share menu.
- Adjust restrictions for downloads, duplication, and review prompts.
FAQs
Q: Can I restrict a single viewer instead of all viewers?
No. Content controls apply to all viewers on a Vault, Knowledge Base, or Review Table at once; there's no per-user setting.
Q: Will viewers know if a restriction has been applied?
No. Viewers won't see a notice about the restriction. The relevant action (like the download button) simply won't appear for them.
Q: Does this apply to Workflows or Assistant?
No. Content controls currently cover Vaults, Knowledge Bases, and independent Review Tables only.
