Manage Internal and External Sharing

Control sharing of Assistant queries, Vault projects, custom workflows and Playbooks with flexible settings at the feature, user, or workspace level.

Overview

Admins have the ability to manage Assistant, Vault, Custom Workflows, and Playbooks sharing independently, offering more control and flexibility within your workspace.

Note: Sharing is an opt-in feature. If your workspace doesn’t yet have sharing capabilities, contact your Harvey Success team to activate this feature.

Manage Sharing in Your Workspace

  1. Go to Settings > Sharing
  2. Use toggles to enable or disable sharing at the feature, individual, or workspace level.

  3. When enabling a feature, select whether to grant access to all users or only specific roles.

Note: If an admin disables sharing, all previously shared items will be set to private. Even if sharing is later re-enabled, the items will remain private and must be manually shared again.

Manage External Sharing

In the External Connections tab within Settings, Admins can approve or deny external sharing requests or directly invite users from external workspaces to collaborate.

Key features beyond sharing:

  • Dual-approval enforcement: Both workspaces must explicitly approve before any data exchange.
  • No external visibility: Harvey gives no indication whether external workspaces or users exist until both admins approve.
  • Ownership: Originating workspace retains full ownership and hosting of shared data.
  • Data residency: Resource data never leaves host workspace’s infrastructure.
  • Revocation: Admins or connection managers can revoke at any time; access is immediately terminated.
  • Retention: Shared resources follow host workspace’s retention policies.
  • Auditability: Full access logs, approval trails, and real-time connection visibility are provided to admins via audit logs.

Inviting Workspaces

  1. Click "Invite workspace" in the bottom left corner.
  2. Enter the email address(es) of the external Harvey users you want to invite.
  3. Click "Add" then "Invite."
Invite workspace pop-up modal with options to add and invite users.

Requests: Approve or Deny

A running list of external sharing requests appears in the center of the page. Each request includes:

  • The initiating party (e.g., "Harvey is requesting to connect")
  • Options to approve or decline
  • Recipient email addresses with the ability to adjust access levels or remove users
Requests screen with details on who is requesting external sharing.

Connections

Approved workspaces appear here. Admins can toggle and filter between Resources and Users.

  • Resources: View which workflows and playbooks have been shared externally and the number of users with access.
  • Users: See all internal and external users collaborating across workspaces, including how many resources they've shared and their access levels.
